Key PE Sports Privacy Policy

Key PE Sports, (Registered Company ), is a sports education company providing schools, teachers and coaches with PE curriculum planning and assessment and sports camps in the community.

Key PE Sports (also referred to as “Key PE”, “we”, “us”, “our” in this Privacy Policy) is committed to meeting the highest standards of data protection to provide the best service to our contacts. We will tell our contacts exactly how we will use and store their data, not use it for any purpose other than the ones we have consent for and take all reasonable steps to ensure their data is stored and transferred securely.

Key PE Sports is committed to respecting the personal data you supply us with. The details we store enable us to personalise the service we provide and, with your consent, to keep you updated with details of courses, camps and services that may be of interest to you.

With your consent, we may contact you by post, telephone or email and share this information with pre-agreed third parties to provide information to you about other services and products that we think might be of interest to you. If we want to use the data in any way other than for the purpose you have consented to (e.g. sharing with a new third party) we will need to ask for your consent each time.

You have the right to opt out of receiving promotions from us and/or our chosen third parties at any time. This can be done by emailing us at info@keypesports.co.uk.

We process all personal data, including that collected via this website in accordance with EU General Data Protection Regulation 2018 (GDPR), which governs data protection and user privacy standards throughout the European Union.

To comply with the law, personal information must be collected and used fairly, stored safely and not disclosed to any unauthorised parties unlawfully. We must also ensure that your information is protected against accidental loss.

  • The right to see all the data we hold on you (by submitting a Subject Access Request)
  • The right to data portability (if you ask to see all your data, we’ll give it to you in a commonly used format, like a pdf)

  • The right to opt-out of marketing communications as easily as you opted in
  • The right to restrict or object to processing (although we may still need to hold on to your data, for example to fulfil a contract)
  • The right to complain (this would be to a supervisory authority responsible for data protection)
  • Data provided via the forms on our homepage portal is securely held and stored solely by us on wordpress.

What information we will hold on you

When you sign your child up for a Key PE camp, we collect the following information from you: name, relation to child, email address, phone number and home address.

Our justification for holding this data

We may need to get in touch with you in the event of an emergency relating to your child.

With whom we may share your data

We will only share your information with those parties who may need to see this, for example members of staff to process your child’s membership. Some of our technical support processors may also see sight of your information.

How long we’ll keep your data

We reserve the right to delete customer’s marketing data from our system if you no longer fulfil our sales criteria - i.e. if you have not made a purchase from us for the past two years or if the children you are booking courses for are now older than the age range we deliver to (4-12 years old).

In these scenarios, we will retain the bare minimum of information (i.e. your email address) on a Suppressed list held within wordpress, to ensure we do not contact you again once you have been removed from our email lists.

Information about where a contact has come from, what their email preferences are and when this information was given will all be stored within the user’s record in wordpress.

If parents want to withdraw consent for marketing, they can update their communication preferences by emailing info@keypesports.co.uk.

Children:

What information we will hold on your child

When you sign your child up for a Key PE Camp, we collect the following information from you about your child: name, DOB, gender, and medical information. During camp, we will also need to record attendance.

How we will use it

We have a safety need to record your child’s attendance in our camps by taking registers, and keeping a record of their medical information in case of an emergency during a session.

Our justification for holding this data

We ask for your consent when you sign your child up to a camp to hold their name, DOB, gender and their medical history.

Schools:

What information we will hold:

Teachers email addresses and school address will be used to create schools accounts.

Children’s names, DOB and year group will be stored and teachers can use the assessment criteria to select for each child.

How we will use it

Assessment of National Curriculum PE objectives achieved by each child will be held but will be protected by passwords. It is the schools responsibility to ensure that passwords remain private and are changed regularly.

Our justification for holding this data

We recommend that schools gain consent from parents before using the online assessment tool.
